The protection of your personal data and compliance with the applicable data protection regulations are very important to us. Below we inform you about the collection, processing and use of your personal data in the case of your application via the Biogena Group Career Portal and ask you to read and accept this data protection declaration.

1. Who processes my personal data and for what purpose?

The Human Resources department is part of Biogena Management Holding GmbH (Strubergasse 24, A-5020 Salzburg,1111-0) and is responsible for recruiting and personnel administration for the entire Biogena Group. Responsible for the position and thus for the processing of your personal data within the scope of the application process is the respective group company of your employment.

We collect, process and use only those personal data for personnel recruitment which you yourself transmit to us in one of the following manners:

  • if you send them to us by post
  • if you make them available to us as part of your online registration in our career portal or if you complete your candidate profile with data that you voluntarily disclose to us

By creating a candidate profile and entering your personal data, the personnel department employees involved in the respective application process have access to your personal data.

Depending on the position for which you applied, your documents and the personal data you provided will be forwarded to the personnel managers of the relevant department of the BIOGENA Group company in question in order to carry out the application process. We would also be pleased to receive your unsolicited application. If in this case your profile is suitable for a position to be filled, your documents will also be forwarded to the relevant specialist department within the group. Your personal data will not be passed on to third parties.

If we should unfortunately not decide for you, you will receive a letter of rejection either by email or by post, in which it is pointed out that we will keep you in evidence in accordance with the retention period according to the Equal Treatment Act (GlbG) of 6 months. If you should not wish this, we ask you for appropriate message. They will then not be considered for any other positions, but in this case we refer to the existing legal retention period of 6 months. After this period the data will be deleted and you must register again if you are interested in our group of companies again.

We take the liberty of enclosing a small gift of the house with your postal rejection letter.

2. Which personal data

In order to create your candidate profile, you must provide at least your first and last name and your e-mail address.

As the application process progresses, you can provide further information relevant to your application and upload the necessary application documents to complete your applicant profile and thus improve your chances.

3. Legal basis for processing

We process your personal data in order to carry out the application process and to ensure optimal recruitment throughout the BIOGENA Group. We do this on the legal basis of "legitimate interest" to carry out an efficient application process (Art. 6 Sect. 1 lit f DSGVO) and on the basis of the need to carry out pre-contractual measures (Art. 6 Sect. 1 lit b DSGVO).

We collect this data as part of the application process either by you providing it to us (for example on the online platform) or by us collecting it ourselves (for example by taking notes during the interview).

You are not obliged to provide us with your personal data. However, if you do not do so, it will not be possible for us to carry out the application process with you.

We will keep your data for six months from the date of completion of an unsuccessful application process. In the event of a successful application process, required data will be transferred to the employee's file.

It is also possible to retain the data for up to 36 months (internally limited to 12 months) if you have consented to this longer retention period. This serves the purpose of maintaining records. We will then contact you if job offers for your area of expertise become available.

Special types of personal data in CVs (details of political opinions, racial or ethnic origin, religious and philosophical beliefs, trade union membership, health or sex life) are generally not desired by us and are not intentionally collected by any Biogena group company, unless this is required under the applicable labour, social or tax law. Please do not provide any information on the above criteria in your application unless you are requested to do so by filling in a mandatory field.

4. Data security

The companies of the Biogena group of companies ensure the protection of your personal data regardless of where your personal data is accessed. Your personal data will not be transmitted to third parties outside the Group unless required to do so by law. If individual companies of the Biogena Group and their service providers are located outside the European Economic Area (EEA), they ensure an adequate level of data protection (pursuant to Art. 46 para. 2 lit c and d DSGVO).

Your personal data will be processed by a service provider (contract data processor) commissioned by us in accordance with the applicable data protection regulations. The personal data is encrypted on the transmission path. If data processing activities take place outside the EEA, at least in part, the service provider is obliged to maintain an appropriate level of data protection.

5. Data storage

In the event that you do not arrange for your data to be deleted from the application portal itself, we will store your personal data for a maximum of 6 months after the end of the application procedure, unless longer or shorter storage is required for legal or statutory reasons.

This deadline applies to all your applications. The data will then be deleted and you will be asked to re-register at one of our offices if you are interested again.

6. Data access

The personal data stored in your candidate profile can be accessed by the personnel department employees involved in the respective application process, the system administrator and only those responsible for human resources at the Biogena Group company that applies for the specific position in question.

In addition, selected employees of the commissioned service provider have access to your personal data in order to be able to perform and support their maintenance and support tasks. Personal data is only passed on for the purpose of order processing in accordance with the data protection regulations of third parties who, for example, operate the servers or provide certain other services.

7. Data correctness/deletion of data/right of objection

You ensure that the personal data you provide is truthful, correct and up-to-date. You can correct, delete or withdraw your application at any time.

You have the possibility at any time to view your personal data via the application portal and to change and/or delete them using your access data.

You can revoke your consent to the present data protection declaration at any time by deleting your account (under "My Info"). In this case, your candidate profile and personal data will be deleted and your application withdrawn. If you delete your account after receiving a rejection letter, we point out the legal retention period of at least 6 months.

8. Other Rights of Persons Affected

You have the right to obtain information about your personal data and to have it corrected, deleted or restricted or to object to its processing, as well as the right to data transferability and the right of appeal to the supervisory authority.
